*Note: This position requires presence in our San Jose office location 5 days per week, Monday-Friday.
What You’ll Do

Assist in the management of our San Jose Office including, but not limited to:
Greet and register all visitors in a professional and friendly manner, notifying the respective hosts of their arrival
Provide the highest level of customer service and support to all employees, guests and visitors.
Maintain and manage the conference rooms, keeping them clean, neat, and well stocked.
Maintain, order and restock all kitchen snacks, drinks and office supplies.
Assist with workplace safety and security
Keep the fridge and coffee makers clean.
Process and distribute incoming mail and fulfill any shipping requests
Work closely with IT for equipment or accessory requests from employees.
Source, manage and maintain relationships with all workplace vendors (e.g., food & beverage, janitorial, security, etc.).
Manage the Forkable (lunch service) account
Collaborate closely with key internal stakeholders such as HR, IT, Legal, FP&A, and Workplace team members to ensure seamless operations.
Be the first point of contact for any facility issues at the San Jose location.
Assist with onsite and offsite office events (i.e. Happy hours/culture events/etc). Requirements include ordering catering, decorating, setting up and cleaning.
Occasional Travel to SF office to assist with events and coverage as needed.
Routinely update and maintain the SJ Emergency Action Plan; educate employees on emergency protocols and resources.
Assist the EA team with scheduling and other administrative tasks.
You
Have a minimum 2 years of administrative experience
Have experience working in a fast paced work environment
Have experience managing an office space
Proficient in Google Suite, MS suite, Slack
Have experience placing supply orders and organizing mail
Are resourceful, a creative problem solver, and adaptable to various competing demands while remaining approachable to the team
Have excellent communication skills (verbal, written, interpersonal)
Salary Range Information
Based on market data and other factors, the hourly range for this position is $38.00-$48.00. However, a salary higher or lower than this range may be appropriate for a candidate whose qualifications differ meaningfully from those listed in the job description.
